The Electives / Meetings page
Create multi-teacher events like staff meetings or multi-grade electives (for example, “Art Class”). An elective / meeting is a shared time block that pulls students from different grades together or blocks teachers' time for meetings.
Quick start
- Click + Elective / Meeting, name it, and pick a template.
- Choose the days and times when this elective / meeting runs.
- Add the teachers who participate.
- Optionally add grades if it's an elective (leave empty for staff-only).
What is an elective / meeting?
Most classes belong to a single grade. An elective / meeting is the exception: it's a time block several teachers and/or grades share at once. Use it two ways:
- As a multi-grade elective — e.g. Art or Music, where students from different grades meet together and it appears on their classroom schedules.
- As a staff-only event — e.g. a coordination meeting, which just marks the chosen teachers busy without showing on any student schedule.
Creating an elective / meeting
When the page is empty you'll see Click the button "+ Elective / Meeting" to create your first one.
- Click + Elective / Meeting at the top of the page.
- In the Create Elective / Meeting dialog, type a Name (for example, "Coordination 1").
- Pick a Template — You need to use a template so you can later specify at what times this elective / meeting occurs.
- Click Save. You're taken to the elective / meeting's detail page to set it up.
The name must be 5–20 characters, and a template is required before you can save.
The electives / meetings list at a glance
All your electives / meetings appear in a table showing each one's Name, its number of Teachers and Grades, and any Notes.
- Click the pencil on a row to open and edit that elective / meeting.
- Click the trash to delete it (you'll be asked to confirm).
Choosing a template
An elective / meeting's template provides the daily time slots you'll pick from. You set it when creating the elective / meeting, and can change it in the Choose a template section — but only before you've selected any time slots.
Once slots are chosen the template locks: Template cannot be changed once slots are selected. Clear slots to choose another template.
Choosing days and times
In Choose days and times, you set when the elective / meeting runs: Click on class slots to select when this elective / meeting occurs.
- Read the grid — the left Time column lists the periods from the template, and each other column is a block from your multi-week rotation (its 1x count shows how many times that block repeats in the cycle).
- Click a slot to select it; a running total shows e.g. 3 slots selected.
- Click a selected slot again to clear it.
A slot that's already taken shows as Unavailable: … and can't be picked — its tooltip tells you which elective / meeting, teachers, or grades are busy then.
Choosing participating teachers
In Choose participating teachers, add the teachers who run the elective / meeting. Teachers added here are marked busy and won't be scheduled for classes while this elective / meeting runs.
- Click Select teachers... and tick the ones taking part.
- They appear as badges; click a badge's close button to remove a teacher.
Add at least one: Without one, this elective / meeting won't block any teacher's time or appear on any schedule.
Showing it in grades (or keeping it staff-only)
The Show in a grade as a class section decides whether the elective / meeting appears on student schedules. It's optional — this is what makes an elective / meeting either an elective or a staff-only meeting.
- Click Add grades... and tick the grades that should see this elective / meeting as a class (ticking a level selects its grades).
- With grades chosen, the status reads Shown as a class on N grades' classroom schedules.
- Leave it empty for a staff-only event — No grades selected — staff-only. This elective / meeting won't appear on any student schedule.
Notes
The Notes section is a free text box — Add notes about this elective / meeting... — for anything you want to remember. Notes also show in the electives / meetings list. You can rename the elective / meeting any time by clicking its title at the top of the detail page, and return to the list with Back to electives / meetings.
How electives / meetings connect to the rest
An elective / meeting ties several parts of the app together:
- Its template and your multi-week rotation define the day/time grid you pick slots from.
- The teachers you add are marked busy during the elective / meeting, so the solver won't double-book them.
- For each grade you include, the elective / meeting's sessions are reflected in the Study Plan, where electives / meetings show up as read-only rows counting against that grade's weekly sessions.
Because of that, set up your templates, multi-week rotation, study plan, and teachers first — an elective / meeting draws on all of them.
Deleting an elective / meeting
- On the electives / meetings list, click the trash button on the elective / meeting's row.
- Confirm when asked — Are you sure you want to delete the elective / meeting "…"? This action cannot be undone.
Warnings you may see here
When something on this page needs attention, a warning triangle appears next to Electives / Meetings in the navigation bar; hover it to see the details (how the triangles work is explained in The warning triangles on the Summary page). The warnings this page can raise:
No teacher selected
This elective / meeting has no participating teachers, so it doesn't block anyone's time yet. Open it with the pencil and add its teachers, or delete it if it's no longer needed.
No slots selected
No day and time has been chosen, so this elective / meeting occupies nothing. Open it and select when it runs in the day-and-time grid.
