Magic Schedules · Help
The Projects page
A project is where you build a complete schedule — like a single school year (for example, “2026 School Year”). This guide covers creating projects, managing them, and launching the solver.
Quick start
- Click New Project to create one.
- Name it and click Create Project.
- Click Start Solving to begin building the schedule.
What is a project?
A project contains all the information and resulting school schedules for a specific period. You build your levels, grades, classrooms, templates, teachers, and study plan inside a project, and the solver turns them into finished schedules.
Create a new project whenever schedules need to change — for example, at the start of a new school year. Your older projects stay available, so each year's setup is kept separate. How many projects you can have depends on your plan.
Tip: your organization is the school; each project inside it is one scheduling period.
Creating a new project
When the page is empty, you'll see the prompt Click on "New Project" to create your first project. Here's how to make one.
- Click New Project near the top of the page.
- In the Create New Project dialog, type a name in the Project Name field (for example, "School Year 2026").
- Click Create Project, or Cancel to back out.
The empty-state prompt is replaced by your new project's card. Each plan allows a certain number of projects; once you reach your plan's limit, the New Project button is disabled and explains how many projects you have.
The project card at a glance
Each project appears as a card. Everything you need is on it:
- The project name at the top — click it to rename.
- The "…" menu (top-right) for actions like Clone, Archive, Export, and more.
- An Add Project Notes field for your own notes.
- A Progress bar and percentage.
- A Created by: line showing who made it (when available).
- The Start Solving button to open the project.
Naming a project & adding notes
Both the project name and its notes are edited right on the card and save automatically — there's no separate edit screen.
- Click the project name to rename it; type the new name.
- Click the Add Project Notes area to jot down anything you want to remember about this project.
- Click away or press Enter — your changes save on their own.
Names and notes can't be edited while a project is archived — set it active again first (see below).
Progress & Start Solving
The Progress bar shows how far along the project's setup is. Start Solving is how you actually go into a project to build and solve its schedules.
- Click Start Solving on the project card.
- You'll be taken into the project, starting at its Levels & Classrooms, where you begin defining the school and creating schedules.
Start Solving is only available on active projects.
Cloning a project
Cloning makes a copy of a project so you can reuse last year's setup instead of starting from scratch. You choose how much of the original to bring along.
- Open the project's "…" menu and choose Clone Project.
- In the Clone project dialog, enter a Project Name for the copy.
- Under Include the following parts, use the slider to pick how much to copy — from just Levels, Grades and Classrooms up through Templates, Rotation, Electives / Meetings, Study Plan, Teachers, all the way to a Complete copy.
- Click Clone Project.
A complete clone copies everything including the solved schedules; a lower setting copies only the earlier building blocks so you can redo the rest.
Exporting a project
Exporting downloads the whole project as a single file, useful for backups or moving it elsewhere.
- Open the project's "…" menu.
- Choose Export.
- Your browser downloads a .hm12 project file.
Export is available on active projects.
Archiving & restoring projects
Archiving tidies away projects you're done with — like past school years — without deleting them. New projects are Active by default. The toggle at the top switches between your active and archived projects.
Archive a project
- Open the project's "…" menu and choose Archive.
- The project moves out of the Active view. Click the Archived toggle to see it.
Bring it back
- Switch the toggle to Archived.
- Open the project's "…" menu and choose Set Active. It returns to your active projects.
The toggle shows a count of how many projects are in each state. While a project is archived, its name, notes, and Start Solving are disabled — set it active to edit it again.
Deleting a project
Deleting permanently removes a project. To prevent accidents, you can only delete a project that has been archived first.
- Switch the toggle to Archived.
- Open the project's "…" menu and choose Delete.
- Confirm when asked — Are you sure you want to delete the project "…"? This action cannot be undone.
Once deleted, a project can't be recovered. If you might need it later, export it first.
Finding projects (search & pages)
Once you have several projects, search and pagination help you find the one you want.
- Type in Search Projects... to filter the list as you type. It works in both the Active and Archived views.
- Use the Active / Archived toggle to choose which set you're looking at.
- At the bottom, Showing X to Y of Z Projects tells you where you are. Use Show to change how many appear per page (5, 10, 20, or 50), and the page arrows to move between pages.
Autosave
You never have to press "save" on this page. Names, notes, archiving, and every other change save on their own. A small server icon near the top shows the status, spinning while Changes are being saved. Just wait for it to settle before closing the page.
Warnings you may see here
When something on this page needs attention, a warning triangle appears next to Projects in the navigation bar; hover it to see the details (how the triangles work is explained in The warning triangles on the Summary page). The warning this page can raise:
Project limit reached Critical
Your organization has more projects than its plan includes, which can happen after a downgrade or when a trial ends. Delete (or archive first, export if you want a backup) the projects you no longer need, or upgrade on the Billing page. While over the limit, the pages inside your projects stay locked.
