The Meetings page
Create meetings: events that occupy several teachers at once, such as staff meetings. A meeting reserves its teachers' time at the hours you choose so no class is scheduled against them, and it never appears on a student's schedule.
Quick start
- Click + Meeting and give it a name.
- Pick a template: it defines the days and periods the meeting can use.
- Add the teachers who take part.
- Select the slots when it runs, then click Create.
Meetings and electives are two pages
Most classes belong to one grade and one teacher. Two things break that rule, and the navigation bar gives each its own page:
- A meeting: this page. Staff-only, like a coordination meeting: it marks the chosen teachers busy and shows on no student schedule, so it takes no grades at all.
- An elective: the Electives page. Students from different grades gather for the same activity, so it needs at least one grade and appears on their classroom schedules.
The two pages work the same way; what differs is the grades. That is why a meeting has no grades step when you create it and no grades section on its card. Each page lists only its own kind, but the app knows about both when it works out who is free: a meeting you create here keeps its teachers out of reach on the Electives page and in the solver.
Creating a meeting
When the page is empty you'll see Click the button "+ Meeting" to create your first one. Everything a meeting needs is asked for up front, one step at a time; it exists only once you finish the last step.
- Click + Meeting at the top of the page. The Create Meeting dialog opens, and a row across its top tracks the four steps: Name, Template, Teachers, Slots.
- Name: type a name (for example, "Coordination 1"). It must be 2 to 20 characters and doesn't have to be unique; Next stays disabled until it's valid.
- Template: pick the template that supplies the day and time grid you'll choose from later. You must select a template to continue.
- Teachers: tick the teachers who take part. You must select at least one teacher to continue.
- Slots: click the slots when the meeting runs. Only the slots free for the teachers you chose are offered, and Create stays disabled until you pick one: You must select at least one block to create this elective / meeting.
There is no grades step: a meeting is staff-only by definition. A blue card at the top of each step explains why it's asked for, Back returns to an earlier step, and Cancel discards the whole draft. If you go back and change the template, the slots you had picked are cleared. They belonged to the old template's grid.
The meetings list at a glance
Each meeting is a card showing its name, how many teachers take part, and how many slots it occupies. There is no separate detail page: click a card to expand it and edit everything in place.
- Click the card's header (or its chevron) to expand or collapse it.
- Click the name to rename it in place, the same 2 to 20 characters.
- Click the trash to delete it (you'll be asked to confirm).
Expanded, a card holds four sections, in this order: Choose a template, Choose days and times, Choose participating teachers, and Notes. Every change saves as you make it. There's no save button.
Choosing a template
A meeting's template provides the daily time slots you pick from. You set it when creating the meeting, and can change it afterwards in the Choose a template section, but only while no time slots are selected.
Once slots are chosen the template locks: Template cannot be changed once slots are selected. Clear slots to choose another template.
Choosing days and times
In Choose days and times you set when the meeting runs: Click on class slots to select when this meeting occurs.
- Read the grid. The left Time column lists the periods from the template, and each other column is a block from your multi-week rotation (its 1x count shows how many times that block repeats in the cycle).
- Click a slot to select it; a running total shows e.g. 3 slots selected.
- Click a selected slot again to clear it.
A slot that's already taken shows as Unavailable: … and can't be picked. Its tooltip tells you which elective, meeting, or teachers are busy then.
Choosing participating teachers
In Choose participating teachers, add the teachers the meeting takes. Teachers added here are marked busy and won't be scheduled for classes while this meeting runs. For a meeting this is the whole point: the teachers are the only thing it reserves.
- Click Select teachers... and tick the ones taking part.
- They appear as badges; click a badge's close button to remove a teacher.
Keep at least one: Without one, this meeting won't block any teacher's time or appear on any schedule.
Notes
The Notes section at the bottom of an expanded card is a free text box (Add notes about this meeting...) for anything you want to remember. Like every other change here, what you type is saved as you go.
How meetings connect to the rest
A meeting is quieter than an elective, but it still reaches:
- Its template and your multi-week rotation define the day/time grid you pick slots from.
- The teachers you add are marked busy while the meeting runs, so the solver won't give them a class then.
- Nothing reaches the Study Plan or any student schedule. A meeting has no grades, so there is nothing for students to attend.
- Electives are checked against the same calendar: a slot a meeting has taken can't be used there either.
Because of that, set up your templates, multi-week rotation, and teachers first. A meeting draws on all of them.
If a change you make would collide with a schedule the solver has already built, a Remove Assignments dialog lists what must go (To save this change, the following assignments must be removed:) and the change is only saved if you choose Continue.
Deleting a meeting
- On the meetings list, click the trash button on the meeting's card.
- Confirm when asked.
Warnings you may see here
When something needs attention, a warning triangle appears next to Meetings in the navigation bar; hover it to see the details (how the triangles work is explained in The warning triangles on the Summary page). Meetings and electives share these warnings, so the same triangle shows on both tabs, and the name in the message tells you which one to open. The warnings this page can raise:
No teacher selected
This meeting has no participating teachers, so it doesn't block anyone's time yet, which is all a meeting does. Expand its card and add them, or delete it if it's no longer needed.
No slots selected
No day and time has been chosen, so this meeting occupies nothing. Expand its card and select when it runs in the day-and-time grid.
