How to use the schedule maker

  1. Create a classroom. Pick its level, grade and section letter. The example school shows what a finished week looks like; use "Start fresh" to clear it when you're ready to build your own.
  2. Add class rows and recesses. A class row is a time slot with one class per weekday. A recess spans the whole week. Rows in a classroom can't overlap.
  3. Fill in each class. Click a slot to set its course and, optionally, its teacher. Teachers you've already entered are suggested as you type.
  4. Check your teachers. The tool won't let a teacher be in two classrooms at the same time. Hover over a teacher to see their sessions across the whole school.
  5. Clone to go faster. Copy a classroom's rows and courses to the next section, then assign its teachers.

Your work is saved automatically, so you can close the page and pick up where you left off. To keep a backup or continue on another computer, open File to download your schedule and open it again later. When you're done, Export prints each classroom's or teacher's schedule, saves it as PDF, or downloads it for Excel.

How to build a school schedule

A good class schedule starts long before the first course is placed. These steps work for a single classroom and for a whole school.

1. Define the school day

Write down the bell times: when the day starts and ends, how long each class lasts, and where the recesses and lunch go. Using the same bell times for every classroom in a level makes it much easier to share teachers between them.

2. List what each classroom needs

From your study plan, note how many sessions per week each course gets. For example, a third grade might need five sessions of reading, five of maths, two of science and one each of music and art. The total has to fit in the class slots you defined.

3. Place the busiest teachers first

Specialists who teach many classrooms (P.E., music, languages) have the least room to move. Place their sessions across all classrooms first, then let homeroom teachers fill the remaining slots.

4. Spread courses across the week

Avoid the same course twice on one day, put the most demanding subjects in the morning when students are fresh, and keep P.E. away from the slot right after lunch.

5. Review each teacher's week

Count each teacher's sessions and look for overloaded days or long gaps. A balanced week is easier to keep when someone is absent.

Reuse your schedule as a template

Parallel sections of the same grade usually share a structure. Build one classroom carefully, clone it with its courses, and only the teachers are left to assign.

How to avoid teacher conflicts

A conflict happens when the same teacher is scheduled in two classrooms at times that overlap. The most common causes are:

This tool checks every assignment against every classroom. If a teacher is already busy at that time, it tells you where and won't save the class. Names are compared ignoring spacing and capitalization, moving a row's times is checked the same way, and cloning a classroom always leaves teachers blank.

As the school grows, placing hundreds of sessions by hand while respecting every teacher's availability and workload gets slow. That's the work Magic Schedules does for you.

Frequently asked questions

Is it free?

Yes. The schedule maker is completely free, with no trial and no sign-up.

Where is my data saved?

In this browser, on this device, and in any schedule file you download. Nothing is sent to our servers. Clearing your browser's data deletes the copy in the browser, so download your schedule if you want a backup.

Do I need an account?

Can I continue on another computer?

Yes. Open File, download your schedule, then open that file on the other computer. To work from any device or with your team without moving files, Magic Schedules keeps your school in your account.

Does it create the schedule automatically?

No. This tool helps you build schedules by hand and catches teacher conflicts as you go. Automatic generation, teacher availability and workload balancing are part of Magic Schedules.
